    Overview

    The Association of Pro Bono Council (APBco) is seeking to hire Brandit,LLC (Brandit) to perform a complete audit of its website’s current software and functionality, suggest improvements based on this audit, and implement these improvements using validated WordPress plugins and best coding standards.

    This complete website audit and subsequent WordPress development should will be designed to help the APBco internal team perform several core actions for the management and user experience of the website:

    • Implementation of the Divi page builder to enable the APBco’s internal team to make more substantive updates to the website on their own. The Divi builder is one of the most widely used page builders on the internet and has live visual that allows users to edit text and design on the front-end of the website.
    • Integration of highly adopted knowledge base plugins to organize APBco’s internal resources library in an effective and intuitive way with proper categorizations, tags and search functionality.
    • Integration of Woocommerce, which is the most widely used e-commerce tool online, along with additional Woocommerce addons for internal membership management, payments and notifications.
    • Integration of 3rd party plugins that integrate advanced scheduling and calender functionality in the website that can be easily managed by the internal team.
    • Integration of profile and form plugins that streamline the onboarding process both for new members and the APBco team members that manage new member approvals and profiles.
    • Add our custom WordPress admin plugin that redesigns the WordPress dashboard to make it more inuitive and adds customized admin labels for ease of use.

    Timing

    The site’s new features should launch over a 90 day period from initial discovery meeting. Timing is subject to approvals by

    Statement of Work and Estimates

    Price estimates are based on initial objectives and may change as mutually agreed upon tasks and objectives change. Cost estimates and payment schedule are provided for four milestones.

    Milestone 1 – Discovery, Website Theme & Plugin Audit
    25% Deposit ($7000) of Total Project Fee is Due to Start Work

    Weeks 1-3

    • Brandit and the APBco team will meet at least once and follow-up with phone and emails to iron out the remaining details.
    • Confirm detailed site requirements for sitemap and functionality of the website.
    • Define plugins needed to execute on additional requirements (member registration form, member registration approval, member profile, library knowledge base, page builder and intuitive content updates, email signups, google analytics, promotion management, SEO, etc.).
    • Suggest design improvements that can be implemented with the page builder in Milestone 2.
    • Define content assets available and needed for the project. This includes defining which content will need to be integrated into new content management tools like the library knowledge base, membership profiles etc.
    • Define the schedule and approval process.
    • Define requirements and data and content that will be used for the internal resource library to integrated with the knowledge base plugin. 
    • Define organizational requirements for categories, tags, and searching the knowledge base library to be implemented in the content management system. 
    • Define form integration requirements and method to post submissions to the new, third-party CRM system to which Post will be implementing.
    • Confirm hosting needs and setup development environment. Brandit provides a scalable WordPress-managed hosting environment that provides faster response times with improved security and stability. We handle the configuration of all hosting, DNS and servers as needed.

    Milestone 2: Primary Development Sprint
    We’ll begin work after 40% of the total project fee ($19,000) has been deposited.

    Week 4-7 – Development

    The Brandit team will place initial content on sample pages for review and revise based on feedback from the Post team.

    Brandit will create final graphics for Home and Section Home pages as needed using images and content provided by Post.

    Weeks 5 – 8 Site Development, Internal Page Design, 3rd Party Integrations & Content Development

    Customize and configure the theme, user experience and content organization based on the approved. Mobile views of the website design will vary based on screen size and platform and will not look exactly the same for all users.

    Install and configure plug-ins to add functionality defined in discovery phase.

    Integrate social media and any other third-party services via plugins.

    Set up opt-in forms for email and lead generation forms. Forms would be built with a form manager plugin (Gravity). Submissions would go to an admin email(s) defined by form. Post submission, the user will go to a custom landing page.

    Milestone 3: Revisions, Integrations, Browser Testing

    We’ll begin work after 75% of the total project fee ($28,500) has been deposited.

    Weeks 8 -12

    Complete 2 revision rounds based on the feedback from the Poste.edu team with up to 15 items each of 10 hours of total work.

    Test site on the latest two versions of MSFT IE, Firefox, Safari. Test on most recent versions of Android and iOS.

    For the final DNS changes; we provide consultation or perform work as needed to get the DNS updated. We troubleshoot issues and make the transition as smooth as possible.

    Content Delivery Network setup for increased security, performance, and speed.

    Assist the Post team with adding and formatting content up to 8 hours of work..

    Milestone 4: Website Launch, Google Analytics Configuration, Google Search Console Submission, Post-Launch Setup and Training

    We’ll begin work after 100% of the total project fee ($38,000) has been deposited.

    Weeks 12 -14

    As needed, configure 301 redirects for up to 50 renamed or deleted Web pages.

    Train staff to manage site as needed in 1-3 training sessions via phone or Skype.

    Configure Google Analytics/Google Webmaster accounts. Create basic reporting as defined in the discovery phase.

    Test CRM integration with lead generation forms.

    Concera Media LLC – Terms & Conditions

    Payment & Terms:

    Concera Media (CM) requires an initial, non-refundable payment of $5,500 upon the initiation of the agreement. Client will be invoiced for work monthly at the start of each Milestone.

    Fees may vary +\- 10% based on actual requirements to be determined by mutual agreement. Fees are inclusive of expenses, as long as all work required is related to development objectives previously agreed upon. Hosting is not included.

    If, upon mutual agreement, additional tasks are required beyond what is covered by the proposal or agreed upon in planning, those additional hours will be billed at our standard hourly rate of $125/hour. The client will be notified of the expected additional fees in advance of the work being initiated.

    Support services are provided for work performed by CM in this statement of work for 45 days after the site is publicly available. Client modifications or development of features outside of the scope of the mutually agreed statement of work are not covered. After 45 days, work performed by CM will be defined and billed by project, hourly or will be covered by Ongoing Support Services.

    Ongoing services are optional. Concera WordPress Management services are outlined in the Appendix.

    Ongoing services may be modified or cancelled at any time and for any reason with 30 days written notice (email will suffice).

    Miscellaneous:

    This Agreement shall not establish a joint venture or partnership, and neither party may bind the other without the advance written consent of the other party.

    Publicity. The parties will cooperate to create public announcements relating to the relationships set forth in this Agreement. Neither party shall make any public announcement regarding the existence of this Agreement without the other partyʼs prior written approval.

    Mutual Indemnification. Client will indemnify CM for all claims against CM arising out of activities of Clientsʼ employees and contractors. CM will indemnify Client for all claims against Client and arising out of activities of the employees and contractors of CM. The indemnifying party shall have the right to control the defense, and then indemnified party shall provide reasonable cooperation for such defense.

    “Indemnify” means to pay or reimburse for all damage, loss, cost and expense (including reasonable attorney fees).

    Assignment. Neither party may assign this Agreement or delegate their duties without the advance written consent of the other party. No change or modification to this Agreement shall be effective unless signed by the parties. This Agreement constitutes the entire agreement between the parties.

    Force Majeure. Neither party shall be in default or otherwise liable for any delay in or failure of its performance under this agreement where such delay or failure of its performance under this agreement arises by reason of any Act of God, or any government or any governmental body, acts of war, the elements, strikes or labor disputes, or other cause beyond the reasonable control of CM.

    Governing Law. This agreement shall be governed by the laws of the State of Missouri as to all matters including, without limitation, matters of validity, construction, effect and performance.

    Confidentiality. Neither party shall disclose to any third party the Confidential Information of the other party and shall not use any such Confidential Information for any purpose other than the purpose for which it was originally disclosed to the receiving party. Confidential Information means any information of a party disclosed to the other party, which is identified as, or should be reasonably understood to be, confidential to the disclosing party.

    Consent. Any consent to be given under this Agreement will not be unreasonably withheld or delayed.

    Fee – $372/month

    $150/monthly base fee + $212/monthly for 2 hours per month of dedicated support

    Gurus on Call:

    We know you have questions. Our white-glove service gives you unlimited call and email support for any fix that takes less than 15 minutes. Maybe you need coaching, or Cascading Style Sheets (CSS) tweak or advice on a new plugin. We’ve got you covered. We don’t charge by the call or email, but, if a request requires more time, we’ll give you a heads up with an hourly quote or a project fee to get the work done. If you need extra help on a regular basis, we’ll reserve hours for you at 15% discount from our usual hourly rate. Please note that membership and commerce system support are an additional fee – we’ll need to know the scope of support needed and we’ll get you a quote. Call support is available Monday to Friday, 9-4 CST.

    Monthly WordPress Core and Plugin Updates

    This is the number one defense against malware attacks and system failures. Before an update, we verify a current backup is in place. After an update, we verify that there are no issues. This is a premium white-glove service where a WordPress expert who knows your site’s setup performs the update and verifies its success.

    Backups and Recovery

    WordPress-specific backups are setup to save your content (nightly) through our hosting service, your host or using a premium plugin. If the site goes down because of a software or database issue or a malicious attack, we¹ll get it back up and running within 24 hours. No hassles.

    Security Monitoring and Hardening

    As a first line of defense, we encourage our clients to host websites on our Concera hosting platform or another WordPress-managed hosting solution. Migration to our hosting is free with a six-month service plan purchase. We also evaluate all sites that we manage to determine if additional security plugins are needed to protect you from specific malicious behavior. We also monitor the health of your system daily.

    Up-time Monitoring

    We monitor your site every five minutes to make sure it’s there when you are not. If it’s not, we send you a notification and follow up with the host if we need to.

    Quarterly Status Meetings

    Websites are never static. You’ve got plans and we need to make sure that the site keeps up with them. We like to meet (in person, phone or Skype/Hangout) with clients quarterly to make sure everything is on track and provide recommendations.

    Monthly Activity Reports

    We provide an email with a summary of updates and security activity for each WordPress install. If you’re a SEO or Google Analytics client, we’ll integrate those reports into a simple, printable Executive Summary for you.
